Receptionists are charged with a responsibility that may affect the success of an organisation: making a good impression. Receptionists answer telephones, route and screen calls, greet visitors, respond to inquiries from the public, and provide information about the organisation. They are responsible for the coordination of all mail into and out of the office. In addition, they contribute to the security of an organisation by helping to monitor the access of visitors. Whereas some tasks are common to most Receptionists, their specific responsibilities vary within the type of establishment in which they work. Increasingly, receptionists use multiline telephone systems, personal computers and fax machines. Despite the widespread use of automated answering systems or voice mail, many receptionists still take messages and inform other employees of visitors’ arrivals or cancellation of appointments.
When they are not busy with callers, most workers are expected to perform a variety of office duties, including opening, sorting mail, collecting and distributing parcels, and transmitting and delivering facsimiles and basic word processing.
The UCO Receptionist programme has been designed to prepare you for the many different tasks that you will have to handle in this interesting and challenging position. As this is often an entry-level position, it is a good place to start in an organisation and you can focus on building your career from this point. Upon completion of this programme, you will be able to utilsze the basic computer skills you have learnt, co-ordinate and handle reception functions successfully, know and use the formats of various business correspondence correctly.
